Microsoft Teams Redesign

Time Frame

6 months

Introduction

In this UX portfolio, I present a significant project where I was tasked with redesigning the Microsoft Teams app for Leaflet, a data management platform designed for the legal industry.

Assigned to enhance user engagement, streamline workflows, and integrate data and documents seamlessly, I embarked on a journey of exploration, research, and creative problem-solving to reimagine the user experience within the legal landscape.

Project + Overview
Generate Documents with Ease
  • In refining Leaflet's Microsoft Teams app, I focused on redesigning the document generation tool.

  • By introducing intuitive features for creating and editing documents within the app, I streamlined processes and improved efficiency.

  • These optimizations in workflow pathways ensure faster and more profitable experiences for Leaflet's users.

This enhancement ensures smoother collaboration processes, allowing users to effortlessly distribute documents and collaborate with their team members directly within the app interface.

Concept Clause: Making Legal Language Accessible to All
  • Integrated a concept clause feature native to the Leaflet platform, seamlessly embedded within the Microsoft Teams environment.

  • This empowers end users to significantly reduce the time and effort required to create new contracts from scratch, right within their Teams workspace.

  • By offering pre-defined clauses directly within Leaflet's interface in Teams, users can effortlessly insert and customize clauses, ensuring consistency and accuracy across documents while maximizing efficiency.

Design Process
Understand

Began with a comprehensive competitive analysis to discern Leaflet's standing within the legal tech market and to identify avenues for differentiation.

Explore

Examined Leaflet's business model and its alignment with customer segments to shed light on user needs, pain points, and opportunities for improvement.

Define

In parallel, an analysis of the existing app's user journey was conducted, uncovering pain points and areas for enhancement to ensure a more seamless and intuitive experience for users.

Materialize

Additionally, heuristic evaluations were performed on the existing applications to assess usability and user experience, providing valuable insights into strengths and weaknesses that informed the direction of the redesign strategy.

Brainstorming Goals
UX Tools

During brainstorming sessions, we utilized various UX tools to refine Leaflet's presence and functionality within the Teams environment

  • Value Proposition Analysis: Evaluated Leaflet's unique value proposition within the Teams platform, identifying key strengths and areas for improvement.

  • Customer Profile Development: Developed detailed customer profiles to better understand the needs, preferences, and pain points of Leaflet's target users within the Teams ecosystem.

  • Service Blueprint Creation: Created service blueprints to visualize and map out the end-to-end user journey within Leaflet's Teams app, identifying touchpoints and opportunities for enhancement.

User flows

Flow charts were used to visually map out the login process for the Leaflet app on Microsoft Teams, helping to identify bottlenecks, inefficiencies, and areas for improvement. This visual representation guided the optimization of steps, clarification of instructions, and enhancement of security measures like Multi-Factor Authentication (MFA).

UX evaluations

I conducted a heuristic evaluation of the existing design to assess usability and identify improvements. Based on this evaluation, I provided UX recommendations to enhance a prototype, focusing on addressing specific usability issues and improving the overall user experience. These recommendations aimed to optimize the design, increase user satisfaction, and guide the iterative design process towards creating a more user-friendly product prototype.

Next Steps

The next step was to engage with the development team to initiate the development phase, which spanned an additional six months. During this period, the development team worked on translating the design concepts into functional software, coding, testing, and refining the product to bring it to life. This phase of collaboration between the design and development teams was crucial in ensuring that the envisioned product was implemented effectively and in alignment with the design objectives.
